Mornington Wanderers is committed to providing quality services to you. This policy outlines our ongoing obligations to you in respect of how we manage your Personal Information.
We have adopted the Australian Privacy Principles (APPs) contained in the Privacy Act 1988 (Cth) (the Privacy Act). The NPPs govern the way in which we collect, use, disclose, store, secure and dispose of your Personal Information.

What is Personal Information?
Personal Information is information that identifies an individual. Examples of Personal Information we collect may include names, addresses, email addresses, phone and facsimile numbers.
Why do we collect it?
We collect your Personal Information for the primary purpose of providing our services as a club to you, and related promotions. We may also use your Personal Information for secondary purposes closely related to the primary purpose, in circumstances where you would reasonably expect such use or disclosure.
You may unsubscribe from our mailing and newsletter lists at any time by contacting us in writing or by using our ‘unsubscribe’ option.
When we collect Personal Information, we will, where appropriate and where possible, explain to you why we are collecting the information and how we plan to use it. Personal information will have been collected as a requirement of you joining the Mornington Wanderers, a branch of the Ulysses Club Inc.
How do we collect it?
This Personal Information is obtained in many ways including correspondence, by telephone and facsimile, by email, via our website www.morningtonwanderers.org, from cookies (see section on cookies) and potentially from third parties. We don’t guarantee website links to external sources or policy of authorised third parties.
The type of personal information we collect may include but not be limited to:
- Full name
- Ulysses current membership number
- Age (this is collected as we are a club for persons 40 years old and over)
- Phone number
- Address
- Emergency contact
Do we collect sensitive information?
We do not collect or store sensitive information.
Sensitive information is defined in the Privacy Act to include information or opinion about such things as an individual’s racial or ethnic origin, political opinions, membership of a political association, religious or philosophical beliefs, membership of a trade union or other professional body, criminal record or health information.
Do we collect information from third parties?
Generally, no. Where reasonable and practicable to do so, we will collect your Personal Information only from you. However, in some circumstances, we may be provided with information by third parties such as a spouse or partner. In such a case, we will take reasonable steps to ensure that you are made aware of the information provided to us by the third party.
Disclosure of Personal Information
Your Personal Information may be disclosed in several circumstances including the following:
- Third parties where you consent to the use or disclosure; and
- Where required or authorised by law.
By way of example, if you are on a ride with the Mornington Wanderers, you will have filled out a ‘ride sheet’ which contains personal details that, in the event of an accident, we would share with ambulance and police services.
Security of Personal Information
We take reasonable care to protect your personal information from misuse, loss and unauthorised access, modification or disclosure.
While no system can be guaranteed to be completely secure, we follow best practices to significantly reduce the risk of unauthorised access to personal information stored. Personal information may be stored on secure servers by our hosting provider or in physical files in a secure location by one of our committee members.
When your Personal Information is no longer needed for the purpose for which it was obtained, we will take reasonable steps to destroy or permanently de-identify your Personal Information. However, most of the Personal Information is or will be stored in files which may be kept by us for up to 7 years.
Access to your Personal Information
You have the right to request access to the personal information we hold about you. If you believe that any information we hold is incorrect or incomplete, please contact us and we will take reasonable steps to correct it. If you are a registered member via our website, you have access to the information you provided on the website through your ‘profile’ page, which is available when you are logged in. You can update and modify this information at your discretion.
Changes to this Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our practices or for legal compliance. We encourage you to review this policy periodically for any updates.
Complaints
Should you believe there is a breach of the APPs, please contact the email below with the details and we will follow up promptly and keep you informed by way of email. Should it require us to make amendments to this privacy policy, such amendments will be made in accordance with the APP. Should escalation be required, we or you are able to contact the office of the Australian Information Commissioner.
Do we do direct marketing?
We may provide you with information regarding and promoting upcoming events and changes to the calendar. Additionally, as part of your membership, you will receive our monthly newsletter and ‘Friday roundup’, which is a weekly summary of club activity. Both of these can be opted-out should you require, by sending an email to the secretary (secretary@morningtonwanderers.org) with ‘opt-out’ in the subject line, and specify which you want to opt-out from. Normally, we will execute this within 5 days of receiving your notice.

If it is deemed to be so, we will inform you and the privacy regulator.
We will provide you with the information as to how it occurred and what we have been advised to do, and what we have been advised for you to do to further protect yourself.
